This page says what Auditlodge does with your information. It was written from the software itself, not from a template, so it describes what the system actually stores rather than what would be convenient to claim.
The controller is Vitadefence Ltd, 3rd Floor, 86-90 Paul Street, London EC2A 4NE, England, company number 15979768, registered with the Information Commissioner’s Office under number ZC106169.
What we hold, and why
| What | Why we have it | Where it sits |
|---|---|---|
| The website address you gave us | It is the thing you asked us to audit | The order file and the report |
| Your email address | To send you the link to your report | The order file and the delivery record |
| A private link for your report | It is how you open the report without an account | The order file and the folder holding your four PDFs and your pack pages |
| The report itself — every page of your site we opened and what we found | It is the thing you bought | On our machine; your link opens it for 7 days |
| The IP address your browser connects from | It is written by the web server as every web server does; while the one-free-check-a-day rule is switched on, a one-way code made from it counts your free checks | The logs of the web servers in front of our shop; the code in a file beside the orders |
| Times and dates | To run the queue and show you when the audit was done | The order file |
| A free check: the website address you typed and what our crawler read on it | To show you the result, to show it again if you come back, and to price the audit | Our own machine, where the crawler also runs |
| Your answers to the questions after payment, such as your town or postcode and your market | To aim the audit at your place and your customers | The quote file for your site |
| An order you started and did not pay for: the website address and your email address | The order is written the moment you press buy, before the payment page opens | The order file |
| The addresses of the pages you open on our site, including the website you type into the free check | It is written by our server as every web server does, to keep the service working and secure | Our server’s log on our machine |
Why we are allowed to hold it
Because you asked us to do a specific job and we need it to do that job — performance of a contract under Article 6(1)(b) of the UK GDPR. The server log entry is our legitimate interest in keeping the service working and secure, Article 6(1)(f).
Who else sees it
- Our data supplier — the website address is sent to them so their crawler and their search database can do their part of the audit, and so is the town you name for a local search. Your email address is not.
- Polar — they take the payment and therefore hold your email address and your payment details as merchant of record.
- Our email provider — the message with your report passes through it.
- A review platform — after your report is delivered, we send it your email address and your order number, nothing else, so it can email you to ask how the audit went. You can object to this, as to anything here, by emailing info@auditlodge.com.
- A messaging service — when a free check starts, an order is placed or a report is delivered, our own staff get a short message naming the website address, nothing else.
- Google — when its “preferred source” button loads on our pages, Google’s own script runs: Google then sees your visit and may use its own cookies. On our shop pages it loads only when you press it.
We do not sell your information, we do not advertise to you, and we do not add you to a mailing list. The only email you may get from someone else is the review invitation above.
How long we keep it
Plainly: the link we send you opens your report for 7 days, then it closes. The report and the order record stay on our machines. Nothing deletes itself on a timer. If you want your order, your email address and your report removed, email info@auditlodge.com and we will delete them and tell you when it is done. After that the link stops working.
Your rights
You can ask us for a copy of what we hold, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, object to it, or ask for it in a common format you can take to another provider. Email info@auditlodge.com; you can also complain to us at that address. If you are not happy with how we answer, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or 0303 123 1113.
Cookies and your browser
Auditlodge sets no cookies and runs no analytics or advertising. Our web book remembers two of your own choices in your browser — the colour theme you pick and whether the side menu is open — and, for the visit only, where you were in the menu. These stay on your device until you clear your browser’s site data; nothing about them is sent to us. If you would rather they were not kept, do not use those two buttons, or clear the site data for auditlodge.com. Google’s button is described under “Who else sees it”.
Where it is kept
Our own machines are in the United Kingdom. Our suppliers named above may process data outside the UK under their own terms. Email info@auditlodge.com and we will tell you which of them do, the safeguard each relies on, and send you a copy of it.
